HVAC businesses receive very different types of enquiries — breakdowns, servicing, installations and commercial work. This guide shows how to route each one correctly, with clear limits on what an AI receptionist should never do, and how every enquiry can reach a clear next step.

The AI Should Identify the Enquiry Type First

After "How can I help?", the first useful classification is usually:

These may be simpler. Potential information:

  • system type where known
  • number of systems where useful

If the business has a connected calendar, clearly defined appointment types and accurate availability, a service booking may potentially be scheduled automatically. But not every service request can automatically become a confirmed appointment.

Installation and Replacement Enquiries

These usually need different information:

  • customer name
  • phone
  • property suburb
  • residential or commercial
  • new installation or replacement
  • broad property or job context
  • preferred consultation timing

Do not make the AI:

  • size the system
  • recommend capacity
  • select equipment
  • calculate heat load
  • recommend refrigerant
  • estimate installation complexity
  • give technical installation advice

Those decisions belong with appropriately qualified people.

Commercial HVAC Enquiries

Potential administrative information:

  • company name
  • contact
  • site location
  • broad requirement
  • existing system or service context
  • preferred contact timing
  • access or contact information where useful

Potential routing:

AI Should Not Diagnose HVAC Faults

  • full safety context
The AI records what the customer reports. The technician determines what is actually wrong.

Refrigerant Work Requires Qualified Handling

The Australian Government currently states that a Refrigerant Handling Licence is required to work with regulated refrigerant where the activity could cause leakage. Examples include certain installation, commissioning, servicing, maintenance and decommissioning of refrigeration and air-conditioning equipment. The Australian Refrigeration Council administers the permit scheme.

Therefore, do not let the AI provide instructions about:

  • releasing refrigerant
  • adding refrigerant
  • recovering refrigerant
  • opening sealed refrigerant circuits
  • modifying refrigerant systems

These matters belong with appropriately licensed technicians.

"It Needs a Regas" Should Not Be an AI Diagnosis

A caller may say: "I think it needs a regas."

The CRM can record:

Caller believes the system may need refrigerant.

But the AI should not confirm that diagnosis. Do not say:

"Yes, it sounds like you need a regas."

The qualified technician determines the cause.

Electrical Issues Also Need Human Technical Judgement

HVAC equipment includes electrical components.

Safe Work Australia states that electrical work can involve:

  • shock
  • burns
  • fire
  • serious injury
  • death

The receptionist should not instruct callers to:

  • open electrical panels
  • inspect wiring
  • touch electrical components
  • repeatedly reset protective devices
  • bypass safety systems

Route the enquiry to appropriately qualified people.

What About Gas Heating Systems?

Some HVAC businesses also deal with gas heating. Gas fitting and licensing requirements vary by Australian state and territory.

Do not configure a generic AI receptionist to:

  • tell callers to relight or dismantle equipment
  • advise on gas system repair
  • declare gas equipment safe

Then:

The AI should not determine technical severity independently. For immediate threats to life, fire or other genuine emergencies, relevant emergency services may be appropriate. Do not provide DIY repair instructions.

What Happens After the Call?

Actual stages should match the business. Not every HVAC business needs separate pipelines — a smaller business may use one pipeline with enquiry-type fields.
